Getting started

Setting up an AI receptionist: the first week.

What happens between deciding and hearing it answer your own phone, in order, with what to have ready and when you first pay.

What to have ready

  • The number your customers ring now, and who provides it.
  • Your opening hours and how long a job usually takes.
  • The services you offer, and the prices you are happy to quote.
  • The email address where you want bookings and messages to arrive.

That is all of it. Nothing needs installing, and you do not have to know how a phone line works.

Six steps, in order

  1. Put your garage on the list

Tell us the garage, the postcode and a good time for a call. It takes under a minute, costs nothing and never asks for a card.

Get your garage on the list

  2. Take a call at the time you picked

Somebody rings you in the morning or the afternoon you chose, and sets it up with you on the phone. There is no form to fill in on your own and no software to install.

  3. Set what it says and knows

Your greeting, in your own words. Your opening hours and how long an appointment takes. The services you offer and the prices you want quoted, with a blank price meaning the garage will confirm. And where the bookings should land the moment a call ends.

    What you can change afterwards

  4. Divert your number to it

Your customers keep ringing the number they already have. Your phone provider does the diverting, and you are talked through it on the phone. By default it answers the calls you do not pick up, so you answer when you can and it covers the rest.

  5. Ring your own number and hear it answer

You ring your own garage number and listen to it pick up in your garage’s name. This is the moment the line is live, and it is the point at which you are first invoiced.

  6. Read the calls as they come in

Sign in with a link sent to your email, with no password to remember. Every call has a summary and a full transcript, bookings are in a list you can move along, and anybody owed a call back sits at the top until you have rung them.

When you first pay

Registering costs nothing. The setup fee is invoiced only once the line is live and you have heard it answer your own phone, and for thirty days after that you can stop and have the setup fee refunded. The guarantee terms say what that covers, and the price guide sets the cost against the alternatives.
